Who processes your data
FK Boekhouding decides why and how the personal data on this website is processed. Our full details are at the bottom of this page.
The contact form
When you fill in the contact form, your request goes to a function at Amazon Web Services in the Stockholm region (eu-north-1, European Union). That function mails your message to our office and sends you a confirmation straight away.
Legal basis: steps taken at your request before a contract (article 6.1.b GDPR) and our legitimate interest in answering your question (article 6.1.f GDPR).
- name, email address and phone number
- whether you already run a business, with company name and VAT number
- your reason for getting in touch and your preferred day and time
- your message
- the language of the site, the time you sent it and the domain name
The chat on the home page
The home page carries a chat. When you want an answer from us, it asks for your name, your email address or phone number and your question. Those details go to the same function at Amazon Web Services in Stockholm as the contact form and reach our office marked as coming from the chat.
Type nothing and nothing leaves your browser: the conversation itself stays on your device.
Legal basis: steps taken at your request before a contract (article 6.1.b GDPR) and our legitimate interest in answering your question (article 6.1.f GDPR).
The client portal
In the client portal you pick a free slot in our calendar yourself. The page reads the free slots from the same environment in Stockholm and sends your booking back to it: name, email address, phone number, the chosen slot, the chosen meeting room and your message.
We keep that booking in order to plan the appointment. You and we both receive a confirmation mail.
The booking lands in the office calendar of FK Boekhouding. Legal basis: performance of the agreement with you as a client (article 6.1.b GDPR).
Hosting
This website is a static export on Amazon S3, delivered through Amazon CloudFront. The files sit in Europe, delivery runs over servers around the world.
To deliver a page to you, Amazon processes your IP address technically. FK Boekhouding switches on no access logs on this environment and keeps no visitor statistics.
Legal basis: our legitimate interest in a working and secure website (article 6.1.f GDPR).
No analytics, no advertising pixels
This website does not measure your behaviour. There is no analytics tool, no advertising pixel and no tracking script on it. The site sets no cookies of its own and uses no local storage in your browser.
Third parties
The contact page shows a Google Maps map. That map loads only after you click Load map. If you do not click, nothing goes to Google. Once the map loads, Google processes your IP address and may set cookies under its own privacy policy. Google Maps is the only external content on this website: the images and the fonts are served from our own server.
Processors
We do not do this alone. Two parties come into contact with your data, each for a defined part.
- Amazon Web Services: the hosting of the website, the functions behind the form, the chat and the portal, and the sending of the mails through Amazon SES. That environment sits in the Stockholm region (eu-north-1, European Union).
- Google: only the map on the contact page, and only after you click Load map.
How long we keep data
We keep contact requests and bookings for as long as we need them to handle your question. After that we keep them for as long as Belgian law requires for a client relationship.
Your rights
Under the General Data Protection Regulation you have the rights below. A mail to the address at the bottom of this page is enough to exercise them.
- access to the data we hold about you
- rectification of data that is wrong
- erasure of your data
- restriction of the processing
- portability of your data
- objection to the processing
Filing a complaint
If you are not happy with the way we handle your data, you can file a complaint with the Belgian Data Protection Authority: Gegevensbeschermingsautoriteit, Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be.
Changes to this policy
If anything changes in the way this website processes data, we update this page and put a new date on it.
